Our response to COVID-19

At Venue Reading the safety and wellbeing of our guests, as well as that of our staff and service providers and the wider community, is of great importance to us. We are continuing to work with some COVID-19 measures across our venue to help give you confidence during your visit and to help to protect your health and safety.

This information is revised in line with government guidance and may be subject to change before your visit.

We continue to have in place measures to help keep you and others safe during your time with us here at Reading. Things may still be done differently, but please be assured that we are still dedicated to delivering events to the highest standard.

• Clear signage and floor markings will remain in place within some locations across our campus
• One-way systems continue to be signposted throughout specific areas
• A full clean of key areas and high touchpoint surfaces take place throughout the day
• Antibacterial hand gel and sanitising stations remain available at high traffic locations and high-touch surfaces
• Staff continue to wear face coverings along with PPE where necessary
• Perspex screens remain in place at key areas such as reception and servery counters
• Our reception team will clean and sanitise the desk on a regular basis and between shifts
• We are a cashless environment so will only take card payments
• The card machine is sanitised regularly by the reception team
• Key cards and access passes are sanitised before and after use

While antibacterial hand gel and sanitising stations are available throughout our venue,
washing your hands regularly is still crucial.

Face Coverings: You must comply with the law & university policies, and unless an exemption applies it is our expectation that face coverings are worn during your meeting, and they must be worn in corridors and other public parts of the building, unless exempt.

Rapid Lateral Flow Tests: We strongly encourage you to follow the national testing policy and include a test the night before / morning of arrival and continue to test whilst you are with us. Please do not come to the campus if your test result is positive.

If you are self-isolating , in a period of quarantine after traveling to England from
overseas or displaying any symptoms of COVID-19 you must not attend the campus.


To ensure the safety of our delegates, tutors, and staff our room capacities have changed based on ventilation. Meeting rooms that allow for social distancing are still available upon request should this be your preference (subject to availability). For areas with natural ventilation, the windows and doors will remain open enabling a continual supply of fresh air and areas with mechanical ventilation systems will be set to constant level ensuring the correct circulation of external air flow is maintained.

• Individual groups will have registration tables in specific areas.
• Stationery will continue to be removed from rooms and provided on request.
• Deep cleaning will take place in meeting rooms between groups and on a nightly basis, including on all hard and high-touch surfaces including tables, chairs, AV equipment, flip charts and markers.
• Hand sanitising gel will be provided in each of our meeting rooms.

Eat & drink

We will continue to adapt our food and drink offering so that we can give you and your guests the possible catering experience suited to your event. Here at Venue Reading our popular conference catering package is chosen from our menus, and all food and drink items are delivered to your allocated meeting room.

• Access to our food and beverage outlets will be controlled and capacity may be limited
• Catering team members will wear face coverings when serving, delivering, clearing, and sanitising
• All high-touch surfaces will be cleaned and sanitised regularly
• Catering will be delivered to your room
• Individually pre-packed snacks are available
• Single-use condiments will be provided
• Beverages will be delivered to your room


All our teams are provided with the appropriate products, protective equipment, and support to ensure that every guest receives the highest standard of customer service.

• Guests will book and settle bed and breakfast via our online portal, which can be accessed via our website.
• Reception will complete the registration process for the guest on arrival to ensure check-in has limited contact points.
• Enhanced cleaning and sanitising will be done between bookings, focusing on high-touch surfaces including; switches and electronic controls, doors and door handles, bathroom surfaces and soap dispensers, telephones, kettles, all hard surfaces, beds, bedding and any soft furnishings.
• In-room information will be available online and an email will be sent in advance of your stay with further details.
• All housekeeping equipment will be wiped and sanitised at the start and end of each shift.


Our team will be on hand throughout the planning stages, prompting you when information is required and overseeing your event on the day.

Training, guidance, and support will be given to our team members to ensure safety measures are taken and government guidelines are met, allowing your events to be delivered to the highest possible standard.

Access to any of our food and beverage outlets will be controlled and capacities will be limited. Our conference catering packages will be delivered to your allocated meeting room in individual picnic-style catering boxes and pre-packed snacks.

Venue Reading (University of Reading) is already a cashless environment, we ask all guests to pay via contactless technology wherever possible. All major credit and debit cards are accepted across our venues.

If you start to feel unwell with COVID symptoms, please follow the government guidance and use the NHS 111 online coronavirus service if you have either:

  • A high temperature – this means you feel hot to touch on your chest or back (you do not need to measure your temperature)
  • A new, continuous cough – this means coughing a lot for more than an hour, or 3 or more coughing episodes in 24 hours (if you usually have a cough, it may be worse than usual)
  • Loss of smell or taste
In order to protect others if you do feel unwell, please go home, request a PCR test and inform the Event Coordinator or Reception team at the venue. If you are unable to travel home let us know as a matter of urgency.

This really depends on the nature of the event. At this stage, there is no requirement for you to vacate immediately and we are simply asking you to follow our continual measures that are in place around the venue.
